Revels Volunteer Roles

Revels is seeking volunteers to help with ongoing needs, at events throughout the year, and during the main Midwinter Revels (MWR) show held in December.

​FUNDRAISING / DONOR RELATIONS (ongoing)
• Work with Board to identify and engage key supporting patrons.
• Solicit opinions and suggestions from supporters regarding Revels
• Involve key patrons in events all year.
• Write donation acknowledgement letters to ≥ $1,000/yr donors.

MARKETING/SOCIAL MEDIA COORDINATOR (ongoing)
• Consistently brand all channels of California Revels content.
• Work with other groups (Artistic Direction, Board, Fundraising, Social Media, Video Production, Website Administrator) to create and align content.
• Write monthly Calif Revels newsletters, preferably events in "Revels Wheel of the Year"
• Launch email campaign for each newsletter. Tools include Robly Digital Marketing application.
• Email newsletter to CalRevelers Google Group.
• Adapt and post messaging for social media. Main media is Facebook; other outlets are Instagram, YouTube shorts. Other potential media includes: X, TikTok, BlueSky.

MERCHANDISE MANAGER (ongoing)
Must be comfortable interacting with a wide variety of volunteers and the public, and making decisions regarding merchandise in a fast-paced environment.
• Inventory existing California Revels merchandise.
• Purchase new items for sale at the MWR theatre.
• Build sales logging system using Square (for credit cards, cash, and checks).
• Establish cash box accounting.
• Control inventory and Cost of Goods Sold (COGS) in coordination with sales logging system. Separate taxable from non-taxable sales (i.e., “merch” items from “food and beverage” to go.)
• Train merchandise volunteers on sales process and tools.
• Set up and strike merchandise booth in theatre.

VOLUNTEER COORDINATOR (ongoing)
• Solicit volunteer needs and availability from Artistic Staff, Board, Chorus, etc. (e.g.: ushers, merch sales, setup, strike, etc.)
• Recruit Volunteers using online tools (e.g., VolunteerMatch and SignUpGenius)
• Communicate frequently with volunteers.
• Assign Volunteers and manage training.
• Collect and Store Volunteer Agreements in hard copy and in protected Google Drive folder. Copy Volunteer Emergency Contacts to Chorus Director(s) and Production/Stage Managers.

WEBSITE ADMINISTRATOR (ongoing)
• Design, update, and build pages for California Revels website (https://www.californiarevels.org). Tools include Flipcause webpage builder and ticketing widgets.
• Maintain California Revels website as events and campaigns change.
• Work with other groups (Board, Fundraising, Marketing) to align content.

WHEEL OF THE YEAR EVENTS (ongoing)
• Serve as Project Manager or provide volunteer help for Wheel of the Year events such as Imbolc/St. Brigid (February), Solstice (June), Bromliad (September)
• Needs include overall event management and logistics, volunteer recruitment, publicity, organizing performers, registration, staff event table, organizing picnic/potluck, taking photos & videos, and physical setup (tent, tables, props, publicity materials).

COVID SAFETY OFFICER (ongoing)
• Review Revels COVID-19 Safety Policy and revise policy annually with appropriate groups (CDC, Alameda Public Health, etc).
• Inventory, acquire, and distribute Personal Protective Equipment (PPE) for the reduction of COVID risk.
• Communicate requirements to Revels personnel and performers.

Midwinter Revels FRONT OF HOUSE MANAGER (closer to MWR show)
Must be comfortable interacting with a wide variety of volunteers and the public, and making decisions regarding merchandise in a fast-paced environment.
• Serve as overall Project Manager for front-of-house (FOH) activities at the Douglas Morrison Theater: ushers, box office, merchandise sales, VIP reception.
• Be physically present (or designate a representative) for each Midwinter show as the central point of contact for FOH. Maintain communication with Revels Managers, Coordinators, and volunteers. Use tools for volunteer signup as needed.
• Work with Revels Volunteer Coordinator to recruit volunteers for FOH.
• Work with Revels Production Manager and DMT House Manager to understand requirements and restrictions for FOH.
• Work with Revels Merchandise Coordinator and Revels/DMT Usher Coordinator to ensure each show has enough coverage and volunteers have appropriate information and training.
• Work with Revels Box Office Coordinator and DMT House Manager to resolve seating issues at the theater.
• Manage FOH load-in, lobby décor, and strike.

Midwinter Revels BOX OFFICE COORDINATOR (closer to MWR show)
• Setup ticket sales system based on ticket pricing established by Board. Sources are Flipcause ticketing portal or theatre subcontracted ticketing system.
• Track ticket sales, whether via Flipcause or theatre subcontractor.
• Issue complimentary tickets in accordance with Board decisions.
 
Midwinter Revels USHER COORDINATOR (closer to MWR show)
• Work with Revels Volunteer Coordinator to recruit volunteer ushers.
• Work directly with the Revels Front of House Manager to understand requirements for ushers at DMT.
• Be physically present (or designate a representative) for each Midwinter show as the central point of contact for ushers.
• Use ongoing communications and signup tools to ensure each show has enough coverage and volunteers have appropriate information and training.

Midwinter Revels PROGRAM PRODUCTION (closer to MWR show)
• Layout and publish theatre program for MWR in coordination with Artistic Director, using approved graphics.
• Coordinate Program Advertising (paid ads) with Fundraising and Marketing groups.
• Set up printing contract with printer.
• Coordinate program proofing and final approvals with appropriate groups.
• Coordinate delivery of printed programs.

Midwinter Revels PUBLICITY (closer to MWR show)
• Design graphics for MWR promotion, in coordination with Artistic Director and Marketing.
• Recruit, discover, and solicit artwork to build the Revels and MWR brand.
• Adapt MWR graphics as needed for other channels.
• Purchase print and digital media advertising.

Midwinter Revels PRODUCTION (closer to MWR show)
Other roles that require multiple volunteers and are more specific to the MIDWINTER REVELS (MWR) show include:
• Front-of-House: ushers, lobby décor, merchandise sales, VIP reception
• Performers: Children’s Chorus Coordinators, Adult Chorus Coordinators
• Production: Load-in/Strike, props
